How to Cancel Freshdesk in 2026 (Downgrade to Free + Export Everything)
Updated 2026-02-26 ยท 7 min read
๐ฐ The Freshworks Upsell Machine
Freshdesk has a genuinely useful free tier โ but Freshworks relentlessly pushes you to upgrade. Growth: $18/agent/month. Pro: $59/agent/month. Enterprise: $95/agent/month. Then they upsell you to the Freshworks Suite (bundling Freshdesk + Freshchat + Freshcaller) at $79-$125/agent/month. A 5-agent team on Pro with add-ons can hit $5,000-$7,500/year. Meanwhile, the free plan covers 80% of what small teams need.
What the Free Plan Actually Includes
Before canceling entirely, check if the free tier covers your needs:
Up to 10 agents โ enough for most small businesses
Email ticketing: Integrated email support with basic ticket management
Knowledge base: Create and publish help articles
Ticket trend reports: Basic analytics on ticket volume and resolution times
Social media ticketing: Twitter and Facebook channel support
Mobile app: Full iOS/Android support for on-the-go responses
What you lose when downgrading: SLA management, automations, CSAT surveys, collision detection, custom ticket fields, time tracking, and round-robin assignment.
Step 1: Export Your Data
Tickets: Admin โ Account โ Helpdesk โ Data Export โ Export tickets as CSV
Contacts: Admin โ Contacts โ Export all contacts
Knowledge base: Each article can be copied; for bulk export, use the Freshdesk API
Canned responses: Document all saved reply templates
Automations: Screenshot dispatch rules, scenario automations, and SLA policies
Reports: Export any custom reports you rely on
Step 2: Cancel or Downgrade
Option A โ Downgrade to Free:
Go to Admin โ Account โ Plans and Billing
Select the Free plan
Confirm the downgrade โ you'll lose paid features but keep all your ticket history
If you have more than 10 agents, you'll need to deactivate the extras first
Option B โ Cancel entirely:
Admin โ Account โ Plans and Billing โ Cancel Account
If the option isn't available, email billing@freshworks.com
Include your account URL, company name, and cancellation request
Annual plans: Cancellation takes effect at the end of the current billing period
๐ก Better Move: Downgrade First
Instead of canceling outright, downgrade to Free. Your ticket history and knowledge base stay intact. If the free plan doesn't work, you can always cancel later. But many teams discover the free tier was all they needed โ saving hundreds per month.
Step 3: Cancel Freshworks Add-Ons Separately
If you added other Freshworks products, cancel each one independently:
Freshchat: Messaging/live chat โ cancel from Freshchat admin panel
Freshcaller: Phone support โ cancel and port your number if needed
Freshsales: CRM โ export contacts before canceling
Freshservice: IT service desk โ separate subscription entirely
Freddy AI: AI features โ remove from each product where enabled
Marketplace apps: Any third-party integrations installed from the marketplace
Alternatives Worth Considering
Help Scout ($22/user/month): Clean shared inbox, knowledge base, in-app messaging โ great for customer-centric teams
Crisp (free-$95/month): Flat pricing regardless of agents, live chat + chatbot + knowledge base
Tidio (free-$29/month): AI chatbot with live chat, built for e-commerce
Zoho Desk (free for 3 agents): Full helpdesk with automation, knowledge base, and AI assistant
Gmail + Google Groups: For very small teams, a shared inbox in Google Workspace might be all you need
Missive ($14/user/month): Collaborative inbox that works with your existing email
๐ธ The Smart Play
Freshdesk Free with 10 agents + a shared Google Doc for SLA tracking + Slack for internal escalations costs $0 and handles most support teams under 1,000 tickets/month. Don't pay for features you use once a quarter.
